Transferring Faculty to a New Department (Reassignment using the old department’s position number)

An approved Hiring form and Academic Personnel Transaction Form should be completed and forwarded to Administrative Affairs with the following:

  • Letter to Faculty Member tenured or Non-Tenured

If a faculty member changes departments, a letter from the new department chairman must be sent to the faculty member outlining that the faculty assignment, evaluation, salary, promotion and tenure, etc. will be completed by the new chairman. The letter must also indicate that there will be no change in salary or title (i.e., tenure accruing to non-tenure accruing title). It is required that the faculty member sign this letter, indicating acceptance of the change.

  • Department Transfer of a Tenured Faculty Member

If the faculty is tenured, the department faculty must vote regarding the transfer of tenure. A letter of request should be addressed to the Dean stating the count of the vote and asking permission to transfer the tenure to the new department. Please include signature blocks for the Dean, SVPHA and Provost.

Note: The transfer should not occur until permission has been received.

Transferring Faculty to a New Department – Sample letter

Please put the letter on departmental letterhead.

  • Non-tenure accruing faculty:

I am writing to inform you that your appointment will be transferred to the Department of [NEW DEPT], effective [TRANSFER DATE]. You should, therefore, consider the Department of [NEW DEPT], as your home department and, as such, will be responsible for faculty assignment, faculty evaluation, establishment of salary and tenure and promotion. Your title and salary will remain the same with this department change.

  • Tenure-accruing faculty:

I am writing to inform you that your appointment will be transferred to the Department of [NEW DEPT], effective [TRANSFER DATE]. You should, therefore, consider the Department of [NEW DEPT], as your home department and, as such, will be responsible for faculty assignment, faculty evaluation, establishment of salary and tenure and promotion. Your title and salary will remain the same with this department change. You should also be aware that any tenure accruing time is for length of service at the University of Florida and this time is being transferred to the Department of [NEW DEPT].**

  • Tenured faculty:

I am writing to inform you that your appointment will be transferred to the Department of [NEW DEPT], effective [TRANSFER DATE]. You should, therefore, consider the Department of [NEW DEPT], as your home department and, as such, will be responsible for faculty assignment, faculty evaluation, establishment of salary and tenure and promotion. Your title and salary will remain the same with this department change. Since you were previously tenured in the Department of [OLD DEPT], your tenure moves to the Department of [NEW DEPT] effective with your transfer.”
